Hong Kong Airport to the 2026 Canton Fair: Plan the Arrival Before Booking

• Considering the SkyPier ferry: check eligibility and the sailing before passing Hong Kong immigration. It is not a normal public pier you can return to after entering Hong Kong.
• Taking high-speed rail: include the airport-to-West-Kowloon connection, station formalities and the final journey in Guangzhou.
• Booking a private transfer: send the flight number, local arrival date and time, passenger count, luggage and complete hotel or exhibition address.
• Arriving late: confirm a workable onward plan or an overnight fallback. Do not assume an old timetable still applies.
• Travelling as a team: decide whether everyone will wait for the last arriving colleague or travel in separate groups.

HKIA's SkyPier ferry instructions list Guangzhou Pazhou among the served ports and distinguish transfer passengers from people starting in Hong Kong. For an onward ferry, the airport tells passengers not to pass immigration or collect checked baggage; after immigration they cannot return to use that transfer service. Eligibility, documents, baggage procedures and the actual sailing must be checked with the airport and operator.

That matters when colleagues forward different instructions. One person may have an airside ferry plan while another has arranged to meet a driver after arrivals. Do not combine those meeting points. Decide on a confirmed itinerary before following either process, and ask the relevant operator if your arrival or baggage situation does not fit its instructions.

This private-car guide concerns a landside pickup after the arrival process appropriate to your journey. It does not sell an airside transfer or promise that a car reservation grants entry permission. Verify each traveller's requirements separately. If your plan depends on a particular immigration or transit arrangement, confirm that before paying for transport.

Write your Guangzhou endpoint first. A hotel reception, a supplier meeting and an exhibition entrance are not interchangeable. Your comparison should end at the same place, with the same bags and people, whichever transport option you choose.

A small-bag solo traveller should not assume a private vehicle is necessary. Equally, a team carrying rigid samples should not compare only the cheapest individual ticket. Include connections and handling requirements. We have not verified a particular autumn-fair coach timetable or fare, so this article does not nominate a supposedly cheapest departure.

Use MTR's departure procedure to check documents, security and immigration arrangements. The time printed as a train departure is not your target arrival time at the station. Build the connection around when the group will be ready after airport arrivals, rather than the flight's scheduled landing.

Check the booked Guangzhou station and how to reach your actual hotel or exhibition destination from it. An airport-to-fair estimate that stops at the railway station leaves part of the trip unfinished. Send the flight number and the local arrival date and time. An overnight flight may arrive on a different calendar date from departure. Include the airline's latest arrival information if it has changed, and nominate one person who can receive the final meeting instructions.

Then send the destination's full name and address, preferably with its Chinese address or map location. If visiting the hotel before the fair, list both stops and say whether you need the car to wait. “Canton Fair transfer” alone does not establish a two-stop itinerary or reserve a driver for the exhibition day.

Do not treat the car booking as confirmation of a buyer badge, hotel check-in, supplier appointment or unrestricted vehicle access at the venue.

Wait for instructions that identify where to meet and how to recognise the agreed vehicle or contact. A generic airport photograph is not a pickup location. If you cannot find the meeting point, send your current location to the coordinator rather than moving between terminals or floors on an assumption.

Keep travel documents, essential medication and the coordination phone accessible. Share the final instruction with the team, but have one person communicate changes. Conflicting messages from several travellers can turn a straightforward pickup into two groups waiting in different places.

If a colleague's bag has not arrived, tell the coordinator before the rest of the team leaves. Decide whether everyone waits or the booking needs to change. Neither a scheduled landing time nor a flight-tracking update proves that all travellers are ready to board.

Ask when booked waiting begins, how flight delays and baggage delays are handled, and what happens if the arrival moves to another date. Those are contractual details to confirm, not promises that can be inferred from “airport pickup.” We do not assume unlimited free waiting.

For a late arrival, compare the confirmed onward arrangement with staying in Hong Kong and travelling the next day. An overnight stay may be more sensible than attaching an important supplier appointment to an uncertain connection. If the meeting cannot move, discuss the risk with the supplier before treating a short online travel estimate as a guarantee.

Do not send only “landing tonight.” State the flight and date, especially around midnight. For the return flight, make a separate plan based on the airline's requirements, the airport arrival target and the complete journey from your final Guangzhou address. The inbound pickup plan does not automatically work in reverse.

A seven-seat Toyota Alphard includes the driver, leaving up to six passenger seats. Luggage capacity is a separate check. A small team with sample cases can need more loading space than a larger team with compact bags.

Send a photograph of everything together and the largest dimensions. Include folded mobility equipment, a stroller or boxes that cannot be stacked. Recheck the return load after purchases or sample collection. If suppliers will deliver boxes to the hotel, obtain their dimensions before confirming the airport return. Passenger transport should not be booked on the assumption that any amount of commercial freight will fit.

If everyone arrives together, send one flight record and the full group load. If travellers land on different flights, provide every flight and decide whether the early group waits. Compare the waiting terms and separate-transfer option rather than forcing all arrivals into the first flight's pickup time.

If a factory follows the airport pickup, send its actual address, vehicle entrance, appointment and expected visit length. An exhibition booth address or a company's registered office may not be the production site. Supplier access and interpreting need their own arrangements; a vehicle booking does not organise them.

For a hotel stop, confirm luggage storage or early check-in directly with the hotel. The driver cannot turn an unconfirmed room into a guaranteed stop duration. Explain which appointments are fixed and which can change so the transport plan reflects the real constraints.

1. Confirm each traveller's entry requirements and whether the chosen journey is airside or landside.
2. Check the latest flight number, arrival date and local time.
3. List the first destination and any hotel, exhibition or supplier stop after it.
4. Send the group headcount and complete luggage details.
5. Confirm meeting instructions, waiting and change conditions, route scope and price in writing.
6. Share the final plan with colleagues and recheck it when a flight, address or passenger changes.
