Check whether the day is feasible
For each stop, add travel, access checks, the meeting and loading time. The next appointment must still fit after that total, with a delay margin. Do not use a city-centre estimate for travel between two industrial estates. Ask the host to confirm each gate and time window; the transport booking does not secure factory admission.
- Place fixed appointments and the final return cutoff first.
- Group flexible visits by their actual addresses, not just city names.
- If a delay would erase the return buffer, move an optional visit to another day before booking.
- Ask the coordinator to review the route; retain the version accepted by both organiser and host.

Example: fixed meeting first, optional visit second
Planning example, not a customer case: factory A has a fixed morning appointment; factory B offers an afternoon window; the group must reach an airport before its airline deadline. Protect A and the airport deadline first. B is feasible only if the confirmed gate-to-gate transfer, meeting, sample loading and return buffer all fit. Otherwise reschedule B rather than assuming the driver can recover lost time.

Agree the vehicle scope before booking
Choose a one-way transfer, two separately timed legs or a charter with agreed hours and stops. Confirm when waiting starts, extra-stop and overrun terms, the final address and who can approve changes. Samples may change the return load and customs requirements; ask the relevant authorities about restricted goods, not just the driver.
