The answer depends on each passenger’s nationality or residence status, travel document, visa or endorsement, destination and travel date. Do this before the vehicle arrives
Entry rules concern people; customs rules concern what they carry. A valid visa does not automatically answer whether medicine, commercial samples or food may cross without declaration.
- Check expiry dates and current entry validity for every traveller
- Carry the required original documents, not only phone photos
- Keep documents in a small bag that stays with the passenger at the checkpoint
- Ask customs separately about medicine, food, samples or high-value goods

You do not need to upload a passport scan for a first quote
For route planning, passenger count and broad document categories are enough. We need to know, for example, that the group contains Hong Kong residents and foreign-passport visitors; we do not need an open-form copy of each passport. If a confirmed booking later requires specific information, the purpose and handling should be explained before you send it.

Keep one private check record per traveller
Record the document category and expiry, destination permission, return or onward permission, official source and date checked for each traveller. Check again after passport renewal, a direction change or an added border crossing. For children or multiple-passport cases, obtain the relevant authority’s advice rather than extrapolating from another passenger.
- Keep originals accessible; copies do not replace them at inspection.
- Resolve an uncertain passenger case before committing non-refundable travel.
- Keep detailed document records with the traveller or organiser; share with the transport team only what is needed for routing and assistance.
