- Start with the host: confirm whether you are visiting a factory, office, warehouse or showroom.
- Group by actual address: Shenzhen, Dongguan and Foshan are city labels, not enough information to schedule consecutive meetings.
- Use changeover dates carefully: a break between fair phases does not mean your supplier is available or production is running.
- Separate transport from sourcing: a chauffeur booking does not include supplier vetting, inspection, entry permission or business interpretation.
- Quote the full day: include stops, expected meeting lengths, waiting, hotel changes and samples before comparing vehicle prices.

Which days can you use between Canton Fair phases?
The official 140th Canton Fair introduction published by MOFCOM lists the autumn 2026 phases as October 15–19, October 23–27 and October 31–November 4. Its stated changeover periods are October 20–22 and October 28–30. These are exhibition schedule facts, not factory appointment slots.
For example, a buyer attending Phase 1 and Phase 2 could investigate supplier visits during October 20–22. That only works if the relevant people can receive you, the site you need is accessible and your next fair commitment still fits. Do not interpret three changeover days as permission to fill three days with back-to-back appointments.
Ask each supplier whether the person you met at the booth will be at the factory or still handling fair duties. If you want to see a specific production process, agree that with the host. A showroom meeting may be useful, but it is not evidence that you have inspected the production site. Recheck the official edition schedule before committing to non-changeable travel.
Who this plan is for—and when a car is unnecessary
This guide suits buyers with agreed supplier meetings, product engineers carrying sample cases and small management teams moving between sites. A pre-arranged vehicle can make sense when several passengers share addresses, samples must stay together or a meeting ends somewhere different from where it began. It does not solve an unconfirmed appointment.
If you have one meeting near your hotel and little luggage, compare local transport before booking a full day. If every supplier is meeting you at the fair, an off-site factory tour may not be needed at all. Spend time on the visit that answers a procurement question rather than adding cities simply because they appear on a map.
A company offering to arrange transport should not become your substitute for commercial checks. Decide separately who evaluates the supplier, who interprets technical discussions and who records inspection findings. Your itinerary should make those roles clear before departure.
Collect the right address before choosing the order
Request the full Chinese address, a map pin, the entrance to use and the name and mobile number of the person meeting you. Ask whether the address is the production site, a sales office or a showroom. A business card or an English company name alone can leave the driver heading to the wrong building.
Send all locations together rather than confirming the morning visit first and adding the rest later. Geographic grouping may suggest moving an appointment, but the supplier must agree to the change. Do not replace a confirmed meeting time with a routing estimate without telling the host.
Build in registration, walking inside the site, a meal break and the possibility that a technical discussion takes longer than expected. Driving is only part of the day. A timetable that accounts for roads but allocates no time to reception or sample handover is not a usable factory plan.

One day: protect the main appointment
Choose the visit that matters most and make that the anchor. In the Foshan example, request a quote from your actual Guangzhou hotel to the actual supplier entrance and back. If the supplier proposes a second site, add its address and expected visit length before confirming it.
A second meeting is optional, not an entitlement attached to a day booking. If the first appointment includes a production walk, testing and sample selection, leaving the afternoon flexible may be more valuable than rushing to another address. Tell the transport coordinator which meeting can move and which cannot.
Two days: use the overnight stop deliberately
The Dongguan-to-Shenzhen example can be considered when you have confirmed appointments in both areas. Compare moving hotels with returning to the same Guangzhou hotel each night. Neither arrangement is automatically cheaper; luggage, hotel commitments and the next morning's appointment change the answer.
If you move hotels, all luggage may need to travel with you during visits. Confirm the vehicle's capacity for cases as well as samples. Specify the first day's finishing location and the next day's pickup address, and ask whether driver accommodation, parking or other applicable charges are included in the written quote.
Three days: do not make three cities the objective
A three-day plan gives you more options, not an obligation to visit Foshan, Dongguan and Shenzhen. Remove a city if the meeting is speculative or can happen at the fair. Keep room for follow-up discussions, a sample that is not ready or an appointment that changes.
The table's order is illustrative. Exact addresses may justify a different order or an extra overnight stop. If your last day ends at an airport, work backwards from your airline's requirements and the full transfer plan; do not place an open-ended factory meeting immediately before departure.
Decide what “driver waiting” means in your quote
A pickup and drop-off, two timed transfers and a vehicle retained between meetings are different bookings. State when the first service starts, where it ends, how long each meeting is expected to last and whether the driver needs to remain available. “Factory visit” by itself does not define these terms.
For a multi-day request, ask for the daily scope rather than one unexplained total. Check included stops, waiting arrangements, overtime or change conditions, tolls, parking and any applicable overnight costs. Do not assume every item is extra, but do not assume every item is included either: get the inclusions in writing.
If a supplier changes the location on the day, contact the coordinator before directing the vehicle elsewhere. Plan for samples without turning the MPV into a freight service
Share passenger count, case dimensions, photographs and anything that must remain upright. A seven-seat Toyota Alphard includes the driver, leaving at most six passenger seats. That seating limit is not a promise that six people's luggage and large sample boxes will all fit.
Ask suppliers what you will actually collect: one small sample, several cartons or an item requiring specialist handling. If the load needs freight transport, arrange that separately instead of relying on a last-minute passenger-vehicle loading plan. Vehicle confirmation does not replace a carrier's acceptance of unusual or restricted goods.

Keep aisles and doors usable; do not plan to hold rigid cases on passengers' laps. Passports, medication and the host's contact details should stay accessible.
Keep permission, interpretation and procurement checks separate
Confirm visitor registration, identification requirements, photography rules and any site-specific clothing or safety requirements with your host. Do not assume the driver can obtain entry permission. If your team needs a technical interpreter or an independent inspector, make those arrangements with the relevant provider.

Hong Kong entry or exit also needs separate planning if it is part of your wider trip. A Guangzhou–Dongguan–Shenzhen domestic itinerary should not silently turn into a Hong Kong transfer on the last afternoon. Include the actual final destination from the start, with document and border requirements checked for the travellers concerned.
Six steps to turn supplier replies into a workable itinerary
- Confirm the purpose of each visit. Write down what you need to see or decide and who must attend.
- Collect addresses and host contacts. Distinguish the office, showroom and production site; keep map pins with the written addresses.
- Agree appointment windows. Include expected visit length, access procedures and any inflexible commitments.
- Group the route and overnight stops. Compare practical sequences with the hosts rather than changing their appointments unilaterally.
- Confirm people, luggage and samples. Include hotel luggage on moving days and expected collections, not only the morning load.
- Approve the written scope. Check pickup, stops, waiting, end point, price and change terms; share the final version with your team.
Keep one person responsible for itinerary updates. When a supplier changes a time, send the revised whole day rather than a message saying “one more stop.” This helps everyone distinguish the latest agreed plan from an earlier quote.
